Job Title: Virtual Administrative Assistant (Home Based) – contract position


We are currently seeking a Virtual Administrative Assistant to join our growing and hardworking

association. This role will report directly to the Board of Directors. Working knowledge of Membership

software (Wild Apricot) would be positive, but the willingness to learn the program would be acceptable.

Association: Lymphedema Association of Ontario (herein referred to as the LAO)


Location: Ontario


Monthly time commitment: 15-20 hours/month. Additional hours may be required during Annual

General Meeting and fundraising events. Any additional hours will be agreed to prior to work

commencing.


This is a contract position and as such the Virtual Assistant is not an employee of the LAO and does

not have any rights to any LAO employee benefits, entitlement or advantage. The successful

candidate will provide their own computer and phone and internet at no additional expense to the

LAO. The LAO will provide any software and licenses to technology and programs currently being

utilized by the LAO. This may include access and licensing to Wild Apricot, Zoom, financial software

packages and any other software as required.


Terms of Contract: This is annual contract beginning March 27 th , 2023. Either party can terminate with

30 days written notice. Annual appraisal will be done.


Services may include (not limited to):


General Administration and Member Management

● Database management will include but is not limited to using Wild Apricot software for

LAO membership, therapist profiles and interactive map.

● Calendar management and scheduling of meetings using Zoom

● Primary responsibility will be Social Media, content and posting and maintaining

website and scheduling webinars.

● Presentation decks – proofing and formatting using provided graphic layouts and

content provided by the Board of Directors.

● Manage incoming mail and prepare mail for disbursement to Board Members and

community partners

● Preparing training manual/documentation of tasks.

● Update Therapist list regularly for Interactive map and also for Directory – keep track on

a monthly basis (eg. Pathways mailing)

● Preparation of membership list for Pathways mailing (quarterly)

● Preparation of membership list and advertisers for Directory (annually)

● When requested, mail out requests for pamphlets/information.and AGM information to

non-email members and other requests.

● Process new applications/membership – online, emails, follow-ups and mailings

● When requested send welcome letter/email, Pathways magazine, pamphlet, Patient

card and other materials.


Corporate Members

● Logo on website, directories, filing CDT certificates, advertising files for Directory

newsletter. The newsletter is created in Wild Apricot and formatting assistance is

required. The Therapist and Corporate listings are done in InDesign.


Financials

● working in conjunction with the President and/or Treasurer and LAO

Bookkeeper. Posting on the website for AGM. The software being used is Simply

Accounting.

● Invoicing – done through Wild Apricot

● Manage aging receivables – follow up by email and call with members who have let

their memberships lapse.

● Process payments – for sponsors – call to verify when required.

● Account reconciliation if required mainly Bookkeeper responsibility

● Process donations (mail, walk and in memory of) in addition to Canada Helps donations

United Way etc. and create donation receipts.


Special Event/Project Coordination

● Assist with the Annual General Meeting, send out email blasts to members, attend,

when requested, take meeting notes and minutes

● Program and event registrations

● Assist the Board team with fundraising events,

● Venue sourcing and booking – for Annual General meetings, board meetings etc

● Mass mailings/emails including, but not limited to the holiday donation campaign

● Lymphedema Awareness events, fundraising events etc.


Hours & Invoicing:

● Virtual Administrative Assistant will be compensated $18-20/hour (+HST if applicable)

depending on experience

● Invoices will be submitted at the end of each month to the President and/or Board

designate

● Invoices to provide details of tasks performed.

● Anticipated number of hours to be worked per month 15-20 dedicated hours.

Once the 20 hours mark has been reached, the Virtual Administrative Assistant will

advise via email to the President and/or Board designate and additional hours may be

approved, in writing, depending upon the nature of the work that is outstanding.

● Invoices will indicate the number of hours worked and the key details of the activities and

services provided.

Seeking: Therapist certified in CDT


We are looking to expand our team of CDT therapists at our Danforth & Chester clinic location with a part- or full-time massage therapist that will enjoy working on a multidisciplinary team, who will fill an existing caseload, and high demand for RMT services.  Our clinical focus is lymphatic care, treating both primary and secondary lymphedema patients, as well as orthopaedics, sports rehab, pelvic and peri-natal care, and cancer rehabilitation.  Our clinic’s expertise in these areas has earned us a wide referral base and high demand for our comprehensive services.
